Organization & Team Management

Manage your Fly Super organization, invite team members, assign roles, and collaborate on landing pages, forms, and campaigns.

What is an Organization?

An organization is your workspace in Fly Super. All landing pages, forms, submissions, links, and domains belong to an organization.

Key Features:

  • Shared workspace for team collaboration
  • Role-based access control (owner, admin, member, guest)
  • Team member invitations via email
  • Organization-scoped data (isolated from other orgs)
  • Multi-organization support (users can belong to multiple orgs)

Organization Settings

Accessing Settings

  1. Navigate to Settings in the sidebar
  2. View organization name, members, and invitations

Organization Name

Changing name:

  1. Go to Settings
  2. Click "Edit Organization Name"
  3. Enter new name
  4. Click "Save"

Name used for:

  • Organization selector in sidebar
  • Team member dashboard
  • Email invitations

Coming Soon: Upload custom organization logo

  • Shown in sidebar
  • Included in email invitations
  • Displayed in team member list

Team Members

Viewing Members

In Settings → Members tab, you'll see:

  • Member name and email
  • Profile photo (if set)
  • Role (Owner, Admin, Member, Guest)
  • Joined date
  • Status (Active, Invitation Pending)

Member Roles

Owner

Permissions:

  • Full access to everything
  • Manage billing and subscription
  • Delete organization
  • Transfer ownership
  • Invite/remove members
  • Assign roles

Restrictions:

  • Only one owner per organization
  • Cannot leave organization (must transfer ownership first)

Admin

Permissions:

  • Create/edit/delete landing pages
  • Create/edit/delete forms
  • View submissions
  • Create/edit/delete links
  • Manage domains
  • Invite members (but cannot assign admin/owner roles)
  • View all organization data

Restrictions:

  • Cannot access billing
  • Cannot delete organization
  • Cannot remove owner
  • Cannot assign admin/owner roles

Member

Permissions:

  • Create/edit their own landing pages
  • Create/edit their own forms
  • View submissions
  • Create/edit their own links
  • View domains (cannot add/remove)

Restrictions:

  • Cannot edit others' content
  • Cannot invite members
  • Cannot remove members
  • Cannot manage domains
  • Cannot access billing

Guest

Permissions:

  • View-only access to landing pages
  • View-only access to forms
  • View submissions (read-only)

Restrictions:

  • Cannot create or edit anything
  • Cannot invite members
  • Limited to viewing

Use case: Clients, stakeholders, contractors who need to preview work.


Inviting Team Members

Sending Invitations

  1. Navigate to SettingsMembers
  2. Click "Invite Member"
  3. Enter email address
  4. Select role (Member, Admin, or Guest)
  5. Optional: Add personal message
  6. Click "Send Invitation"

Invitation email sent to recipient with:

  • Organization name
  • Your name (inviter)
  • Join link
  • Invitation expiration (7 days)

Invitation Status

Track pending invitations:

  • Pending: Invitation sent, awaiting acceptance
  • Accepted: User joined organization
  • Expired: 7 days passed, invitation expired
  • Revoked: Invitation manually cancelled

Resending Invitations

If recipient didn't receive:

  1. Find invitation in Pending Invitations list
  2. Click "Resend"
  3. New email sent with same link

Revoking Invitations

Cancel pending invitation:

  1. Find invitation in Pending Invitations
  2. Click "Revoke"
  3. Invitation link becomes invalid

Use case: Sent to wrong email, invitation no longer needed.


Managing Team Members

Changing Member Roles

  1. Navigate to SettingsMembers
  2. Click member to manage
  3. Select new role from dropdown
  4. Click "Update Role"

Restrictions:

  • Only owners can assign admin role
  • Only owners can assign owner role (transfers ownership)
  • Cannot change your own role

Removing Members

  1. Navigate to SettingsMembers
  2. Click member to remove
  3. Click "Remove from Organization"
  4. Confirm removal

What happens:

  • Member loses access to organization immediately
  • Member's content (landing pages, forms) remains in organization
  • Member can be re-invited later

Restrictions:

  • Cannot remove owner
  • Cannot remove yourself (use "Leave Organization" instead)

Leaving Organization

To leave an organization you're a member of:

  1. Navigate to Settings
  2. Click "Leave Organization"
  3. Confirm you want to leave

What happens:

  • You lose access to this organization
  • Your content remains in organization
  • Can be re-invited later

Note: Owners cannot leave - must transfer ownership or delete organization first.


Multi-Organization Support

Belonging to Multiple Organizations

Users can belong to up to 2 organizations (default limit):

  • Personal organization (created at signup)
  • Team/company organization (invited to)

Switching between organizations:

  1. Click organization selector in sidebar (top)
  2. Choose organization from dropdown
  3. Interface updates to show selected org's data

Active Organization

The active organization determines:

  • Which landing pages you see
  • Which forms and submissions appear
  • Which links and domains are available
  • Where new content is created

Switching changes everything - make sure you're in the correct organization!

Organization Context

All data is organization-scoped:

  • Landing pages belong to one organization
  • Forms and submissions belong to one organization
  • Links and domains belong to one organization
  • Cannot share content between organizations

To share: Duplicate content manually or invite member to both orgs.


Billing and Subscription

Owner-only access.

Current Plan

View current subscription:

  • Plan name (Free, Pro, Enterprise)
  • Features included
  • Monthly/annual billing
  • Next billing date
  • Payment method

Upgrading Plan

  1. Navigate to SettingsBilling
  2. Click "Upgrade Plan"
  3. Select plan (Pro, Enterprise)
  4. Enter payment information
  5. Confirm upgrade

Applies immediately:

  • New features activated
  • Higher limits enabled
  • Pro-rated billing

Downgrading Plan

  1. Navigate to SettingsBilling
  2. Click "Change Plan"
  3. Select lower plan
  4. Confirm downgrade

Takes effect:

  • At end of current billing period
  • Features adjust to new plan limits

Cancelling Subscription

  1. Navigate to SettingsBilling
  2. Click "Cancel Subscription"
  3. Confirm cancellation

What happens:

  • Subscription ends at end of billing period
  • Account reverts to Free plan
  • Data retained (not deleted)
  • Can re-upgrade anytime

Organization Deletion

Owner-only action. Cannot be undone.

Before Deleting

Warning: Deleting removes everything:

  • All landing pages (unpublished immediately)
  • All forms and submissions (permanently deleted)
  • All links (stop working immediately)
  • All domains (removed, SSL revoked)
  • All team members (lose access)

Recommendation: Export important data first.

Deletion Process

  1. Navigate to SettingsOrganization
  2. Scroll to Danger Zone
  3. Click "Delete Organization"
  4. Type organization name to confirm
  5. Click "Permanently Delete"

Takes effect immediately:

  • All content deleted
  • All URLs return 404
  • All team members removed
  • Action cannot be undone

Use cases:

  • Ending project
  • Consolidating organizations
  • Account cleanup

Best Practices

Team Structure

Small teams (2-5 people):

  • Owner: Founder/CEO
  • Admins: Marketing lead, product lead
  • Members: Marketing team members

Medium teams (5-20 people):

  • Owner: CEO or CMO
  • Admins: Marketing managers, product managers
  • Members: Marketing specialists, designers, copywriters
  • Guests: Agency partners, contractors

Large teams (20+ people):

  • Owner: CMO or VP Marketing
  • Admins: Department heads, team leads
  • Members: Team members by function
  • Guests: External stakeholders

Role Assignment

Guidelines:

  1. Minimize admins - Too many cooks in the kitchen
  2. Use member role for most - Default for team members
  3. Guest for read-only - Stakeholders, clients
  4. Owner transfers rarely - Only when necessary

Invitation Management

Best practices:

  1. Include message - Explain why they're invited
  2. Set expectations - What role, what responsibilities
  3. Follow up - If they don't join in 24 hours
  4. Revoke stale - Cancel invitations older than 7 days
  5. Use correct email - Double-check before sending

Security

Protect your organization:

  1. Strong passwords - Use password manager
  2. Enable 2FA - On your Fly Super account
  3. Limit owner role - Only one or two trusted people
  4. Review members - Quarterly audit who has access
  5. Remove promptly - When someone leaves company

Communication

With team members:

  1. Document workflows - How to create landing pages, forms
  2. Set guidelines - Naming conventions, approval process
  3. Regular reviews - Weekly/monthly content review
  4. Clear ownership - Who's responsible for what
  5. Training - Onboard new members properly

Troubleshooting

"Cannot invite member"

Possible causes:

  1. Organization at member limit
  2. You don't have permission (need admin or owner)
  3. Email already invited (pending invitation)
  4. Email already in organization

Solutions:

  • Check member limit for your plan
  • Ask owner/admin to invite
  • Check pending invitations list
  • Resend existing invitation

"Invitation not received"

Check:

  1. Spam/junk folder
  2. Correct email address
  3. Email filters blocking
  4. Corporate firewall blocking

Solutions:

  • Resend invitation
  • Try different email
  • Whitelist @flysuper.com emails
  • Contact support

"Cannot change role"

Possible causes:

  1. You're not owner (only owners can assign admin role)
  2. Trying to change your own role (not allowed)
  3. Trying to demote owner (must transfer ownership first)

Solutions:

  • Ask organization owner
  • Cannot change your own role
  • Transfer ownership first

"Cannot access organization"

Possible causes:

  1. Removed from organization
  2. Invitation expired
  3. Organization deleted
  4. Wrong account logged in

Solutions:

  • Contact organization owner for re-invitation
  • Accept invitation within 7 days
  • Organization cannot be recovered if deleted
  • Ensure correct account logged in

Pro Tip: Use the Member role for most team members and only assign Admin to team leads who need to manage domains and invite others. This keeps permissions organized and secure!
